Summary
A FACILITIES COORDINATOR must have a good working knowledge of Facilities Maintenance and Operations. This individual reports to and gets direction from the Facilities Manager and works closely with client management if the Facilities Manager is not available.
In addition, the facilities coordinator must have good client relations skills with focus on communications, verbal and written; ability to work with his own team and the client; and be flexible as the needs arise to assist company management meet the needs of the core business of the organization.

Duties and Responsibilities
- Day to day scheduling and coordination of vendors, contractors, and his/her internal team to complete the preventive maintenance of building and ground systems, including HVAC, electrical, communications, fire protection, security, IT, emergency power, and landscape systems on a timely basis.
- Keeps track of contracts and initiates required renewals for the Facilities ManagerÕs review and approval.
- Schedules and coordinates the minor repair of building facilities systems; involves the Facilities Manager for review and approval of all major repairs ,
- Documents and tracks facilities related expenses ensuring the Facilities Manager is alerted to variances affecting the budget.
- Responsible for the implementation, completion, and closure of work orders entered in the computerized maintenance management system.
- Organizes the workflow and coordinates facilities related activities with the space planner to ensure all moves, adds, and changes of offices are scheduled on a timely basis.
- Coordinates waste and recycling management.
- Proficient in Microsoft Office, especially Word and Excel.
- Keeps track of facilities equipment inventory and orders parts, as needed
- Functions as the contact person for all facilities deliveries.
- Schedules and coordinates building carpentry, painting, flooring, and related trades, as needed.
- Monitors custodial and landscape management activities ensuring the cleanliness of the building and grounds.
- Schedules and coordinates food service requirements, including catering and vending, as needed.
- No less than 4 years of prior facilities related experience, preferably as a facilities coordinator
- Minimum of a High School diploma or GED
